Job Title: Bookkeeper-Secretary

Reports to: Principal

 

Summary

Maintains adequate accounts payable and executes procedures necessary to assure proper and timely payments. Performs clerical and record keeping support, as required by the principal.

 

Essential Duties and Responsibilities include the following.  Assume the responsibility for effective and efficient operation of bookkeeping functions to include but not limited to the following duties: 

 

Bookkeeper

  • Maintain accurate record of all incoming school funds and reimbursement requests by making computer entries
  • Answer calls concerning accounts payable and research billing discrepancies and take corrective action
  • Reconcile accounts on a monthly basis with bank statements
  • Calculate funds, issue receipts and make bank deposits as required
  • Receive all school invoices for purchases and services
  • Type, fax, and/or mail purchase orders and other correspondence as necessary
  • Secure all monies in the safe as received in the office
  • Maintain record and filing system
  • Type letters, prepare reports and assist with preparing the school budget as requested
  • Order teacher and office supplies annually.  Reorder supplies during the school year as necessary
  • Affix postage and mail school related correspondences as necessary
  • Register teachers and staff for conferences
  • Perform other such duties and responsibilities as may be assigned by the superintendent or designee

 

Secretary

  • Assist and support daily administrative procedures of the principal
  • Answer telephone calls, screen callers, relay messages, direct calls to voice mail and greet visitors
  • Assist with student registration as necessary
  • Assist with securing students files from the records room as necessary
  • Assist with signing in tardy students and the writing of tardy slips as necessary
  • Write bus passes and call students for dismissal as necessary 
  • Assist in distributing mail and notices to staff as necessary 
  • Assist with teacher and staff check out at the end of the school year as necessary 
  • Copy and disseminate materials to teachers and staff as necessary 
  • Perform any other duties that may be assigned by the superintendent, or designee

 

Qualifications

  • Demonstrates an understanding of the job tasks.
  • Possesses general knowledge of routing accounting principles.
  • Demonstrates the ability to maintain financial records, prepare reports and statements.
  • Demonstrates the ability to deal effectively with co-workers and the public.
  • Demonstrates the ability to operate a variety of office machines.
  • Ability to operate computers to manage records and other written materials.

 

Education and/or Experience

High School diploma or equivalent.  Training and/or experience which provides the required knowledge and skills related to technology and in general office procedures preferred. 

 

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of parents or public.

 

Mathematical Skills

Demonstrate the ability to make arithmetical computations quickly and accurately.

 

Reasoning/Other Abilities

Ability to apply common sense understanding to carry out simple one-or two-step instructions.  Ability to deal with standardized situations with only occasional or no variables. 

 

Physical Demands

Work involves limited physical tasks and the operation of office equipment.  Above-average amount of walking, bending, standing, stooping, and lifting in an office environment. 

 

Work Environment

Work involves exposure to normal everyday hazards.  Work is performed in an office and is subject to deadlines and frequent interruptions.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions.  

 

Evaluation

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
